Tasks:

The service to be delivered shall cover the following tasks as and when they become necessary by the project:

System configuration/test phase

- Assist with the implementation of the customer's workflows and processes
- Test the system as administrator and test user
- Coordinate the tests of the customers test users and compile test results
- Maintain the action item lists to track the closing of actions
- Assure that all the contracted documentation is delivered by the PDM vendor, it reflects the installed configuration and is suitable for future maintenance and administration of the system
Data upload
- Prepare and maintain a directory of data to be uploaded
- Check and consolidate the existing metadata
- Understand the data upload tools developed by the PDM vendor
- Upload data and coordinate other administrators in the upload activities
- Quality check of uploaded data
- Follow the upload planning

Roll-out
- One general presentation and up to 10 training sessions to be conducted every month
- Coordinate installation and maintenance of software on the customer's workstations
- Develop the customer's specific manuals of the functions and workflows
- Receive and consolidate user feedback in the initial phase

Initial usage period
- Once operational, provide helpdesk support for up to 150 users. This number will increase after a further 3 months to 200 users.

The support shall cover the following:
o Receive user calls and problem reports
o Maintain a log of problem reports in a format defined by the customer
o Resolve problems and involve the PDM vendor when required
o Coordinate PDM vendor hotline involvement in more severe problem solving cases
o Update system documentation and manuals
o Monitor server system performance
- Identify potential improvements to be implemented in the configuration
- Support the customer's project managers setting up their project directories and advise them on configuration settings
- Occasional training sessions and individual training when necessary

Service as PDM assistant
The contractor shall support the customers PDM team in the above listed tasks for the duration of 6 month, with the option to extend the service for 3 more months. The duration of the tasks will follow the progress of the PDM system implementation.

Activity Reports
Every month, the contractor shall issue an Activity Report containing the tasks carried out and the associated number of hours worked during the previous month. This Activity Report shall be submitted to the customer's technical responsible for approval.

necessary knowledge:

Knowledge of PDM systems
Knowledge of technical archiving
Good communication skills (oral/written/reading) in English

Experienced level skills in Microsoft
Office products
