We are looking for a
Global Operations Administrative Assistant (m/f)

Ihre Aufgaben:
  • General administrative support: independently takes care of general administrative tasks and
  • maintains administrative processes also in case of absence of the line manager/team leaders
  • Schedule and prepare meetings and writing of minutes
  • Organize global group meetings/conferences
  • Proactively support line manager with respect to organization of meetings, administrative requests, and internal/external correspondence
  • Organize business trips, internal courses, internal and external meetings (incl video and telephone conferences) and coordinate it with respective colleagues in USA etc
  • Support departmental recruitment by arranging interviews and phone screens with candidates.
  • Attend and support candidates, visitors and consultants to the department
  • Provide support to the Department Head and Team Leaders e.g. updating administrative
  • overviews, ordering office supply etc
  • Introduce new associates to administrative and organizational issues, prepare induction program
  • Work processes in own area of responsibility: supports optimization of current processes and /or introduction of new or modified processes
  • Handling of administrative projects (e.g. resource management etc) : act as a team member and
  • manages the administrative part of special tasks/assignments
  • Other administrative specific tasks that include and are not limited to the following:
  • Act as back-up for courier shipments
  • Support outsourcing and contract department for administrative tasks e.g filing, maintenance of
  • specific tracking documents, organization of contracts signatures, invoices
  • Support the Process, Training and System group in all administrative tasks and take over special assignments as needed


Ihre Qualifikation
  • Relevant education, e.g. commercial school
  • Fluent English (written and spoken), German, any additional language advantageous
  • Previous experience as an administrative assistant in a similar (pharmaceutical, research)
  • environment
