Beschreibung

The primary goal of the project is to implement a statistical data management and analysis platform for the Roche Biometrics Department. Throughout this implementation and beyond (into the roll-out phase), we need to ensure stakeholders at all levels are kept informed and engaged through the execution of a holistic communications strategy and detailed plan. Important background information to be considered is that the 1st attempt to implement such a platform (initiated in 2009) was unsuccessful and a large portion of the users are skeptical about the 2nd attempt. In addition, a large part of that same user population would prefer to stay on the current home-grown platform we have in place as opposed to moving to a new one (change resistant). Unfortunately this is not possible due to the fact that the legacy platform has reached the end of it’s lifecycle and we are struggling to support it.
The Project is quite far already in the testing phase and getting ready to roll-out in mid May 2016. Therefore it would be important to have a candidate onboard as soon as possible who could inform the users about the status and to further support the implementation as well as roll-out.
Affected users ~800.

We are looking for someone that plan and executes communication activities to ensure organizational readiness and seamless adoption of the solution to be delivered by the project; collaborate and ensure alignment with the change and adoption management team of the Program

Tasks:
• Work primarily with the project business & IT Leads, implementation Lead and GLIDE Change & Comms team to build on existing comms strategy and produce a holistic stakeholder communication plan for the duration of the project and beyond as the system is rolled out in a phased approach to users in production
• Manage status of communications activities, ensure stakeholder engagement deliverables meet expectations within time, budget and quality, contributing to the overall success of the GLIDE Program
• Hands-on Execution of communication plans in alignment with project managers to ensure the readiness of the impacted stakeholders for the planned changes
• Collaborate with GLIDE Program Change and Comms and Project Implementation Lead to monitor stakeholder management through to completion of the Change Effort
• For all identified communication activities, work with the relevant Subject Matter Experts/Project Leads to elicit content and produce draft communications for further review and finalization
• Identify system adoption risks, and propose/develop mitigation strategies, take early action to resolve issues and address cross-team impacts (both business and informatics)
• Collaborate with GLIDE and PDB Communications to identify, define and maintain communication channels within stakeholder organizations and create organizational and role specific key messages

Requirements:
• Excellent written and verbal in English (native or near native)
• Proven track record of ability to take the initiative, investigate/analyze, drive and execute consistently and across highly complex/matrixed organizations
• Minimum of 5 years’ experience in Global Project /Change Communications, versed in Change Management and Project Management methods and tools that can be adapted and executed hands-on in a new environment
• Minimum of 5 years’ experience in creating communication in different media – written (blogs etc), video
• Branding (presentations, blogs, newsletters etc) – within corporate guidelines
• Technical and logistical experience of managing websites, intranet sites and collaboration platforms – Must-Have or at least willing to learn
• Strong planning and organizational skills, including ability to prioritize and organize high volume workflow and follow a project through to completion, ensuring attention to detail, and highest level of accuracy within required timeframe manage the process from draft to publication
• Strong verbal and written communication skills, with an ability to express complex concepts in business terms and across cultures
• Ability to communicate effectively in virtual meetings and establish a positive relationship with stakeholders through Telephone/Video Conference
• Strong abilities in relationship management, teamwork and interpersonal skills; ability to communicate and persuade at all management levels and thrive in a cross-functional, global environment
• Ability to work independently and as part of a team
• Ability to apply strong writing and editing skills to communications for a variety of media and channels

Nice to Haves:
++ Roche experience and broad knowledge of organizational structures and functions
++ Experience interacting with and influencing managers, senior leaders and key stakeholders
++ Experience in a Pharma Development environment
+ Additional languages are a plus: e.g. German
+ Drug development knowledge
+ Experience with Entimo / EntimICE (this is the vendor and name of the tool that shall be implemented)

Latest start date: 4th April 2016, candidates that are available earlier are preferred
80% onsite either in Basel (Switzerland) or Welwyn (UK). Up to 20% remote would be possible prior to approval (e.g. on Fridays)
An extension is very likely, but needs to be confirmed.

Please note that a face to face interview would be preferred, this will would then take place in Welwyn.

Additional information:
1. The team is composed of both IT and Business folks. The Comms role will largely work with business folks, but also some lead IT people, as well.
2. The studies are clinical studies. Biometrics users work on various clinical studies to analyze and make sense of the clinical data that’s coming in such that clinical scientists can make decisions regarding toxicology, dosage etc. and eventually be prepared to give the green light fr filing a certain study with the authorities- e.g FDA
3. Regarding IT Tolls: It would be great if the person has knowledge of PD Live (this is a communication platform used in Biometrics) or more generally experience managing content on web sites
4. No need for GxP experience for this role
