Kontakt:The client Premises Project is looking for a Team Assistant to provide support to the project.
Tasks may include:
• Support the NEP-PO project team in the day-to-day business (time management, incoming and outgoing post);
• Establish and act as the permanent NEP-PO peer contact on site for the Construction Manager and others;
• Secretarial services which includes handling of confidential documentation;
• Preparation/printing of project related documents for internal/external meetings;
• Filing, archiving, central secretarial services to all project members using also the specific NEP related Project Communication Management system (PKM) as central communication and documentation platform;
• Travel planning and organisation for all NEP Project Office members;
• Absence planning for NEP Project Office members and client staff related to the NEP project;
• Centralised incoming/outgoing post;
• Registration of external staff of subcontractors;
• NEP participants (request for security badges) and closely liase with the client Security Division;
• Support of the invoice processing;
• Support of the procurement process.
Qualifications and experience
• Good English and German skills, with good drafting ability in both languages;
• Good computer knowledge and familiartiy with MS Office, in particular MS Excel, Word and PowerPoint;
• At least 5 years secretarial experience;
• Previous work experience in a (construction) project with multiple internal and external stakeholders would be an asset;
• Previous experience with invoice processing, in particular via SAP, would be an asset;
• Working knowledge of Livelink and a Project Communication Management system (i.e. PKM) would be an advantage;
• Formal commercial / vocational qualification would be beneficial.
