Project Description Our client operates a Portfolio Management Process for capturing, prioritizing, planning and delivering digital demands across its Cloud Platform and Digital Solutions environment. As Process Manager, you will support the Process Owner with release-cycle coordination, quality-gate tracking, roadmap alignment, risk management and management reporting.

Framework Parameters
Project Duration: asap for 6 months (28.02.2027 - Extension possible)
Workload: Full-time
Location: Remote in Spain, with occasional onsite meetings in Düsseldorf (Germany) and Madrid (Spain)
Language: Fluent business English required

Responsibilities

Release Timeline Management
  • Prepare, maintain and communicate PMP release timelines (preparation and development phases) for each release cycle
  • Track milestone adherence (e.g. submission closure, shortlisting, dependency mapping, scope sign-off, development, integration testing etc.) and flag deviations early
  • Coordinate timeline updates with Product Owners and delivery teams and ensure a single, up-to-date source of truth

Quality Gate Verification & Reporting
  • Verify that deliverables meet the defined entry and exit criteria at each quality gate (Q-Gate) before progression
  • Work closely with quality experts to assess quality conformance throughout the process and especially for Q-Gates
  • Collect and validate required evidence (documentation, approvals, test results, readiness confirmations)
  • Prepare Q-Gate status reporting for SteerCo and management, including compliance status and open items
  • Escalate non-compliance and unresolved gate blockers to the Process Owner in a timely manner

Roadmap Alignment
  • Facilitate and document development roadmap alignment sessions across Product Owners and engineering teams
  • Ensure roadmap commitments are consistent with portfolio priorities and release scope decisions
  • Identify and surface conflicts, capacity constraints and cross-team dependencies resulting from roadmap changes

Risk & Dependency Management
  • Identify, document and maintain a structured risk and dependency register for the portfolio
  • Ensure risks are assessed for impact and probability, with owners and mitigation actions assigned
  • Make risks transparent to management through regular, decision-ready reporting
  • Follow up on mitigation actions and track them to closure

Priority Adherence & Process Discipline
  • Monitor that agreed portfolio priorities are respected in planning and execution
  • Detect and report scope creep, unauthorized reprioritization or bypassing of the defined process
  • Support descoping and re-prioritization exercises with structured data and impact analysis
  • Contribute to the continuous improvement of PMP standards, templates and working procedures

Reporting & Management Transparency
  • Produce and maintain recurring portfolio status reporting (milestones, Q-Gates, risks, dependencies, priorities)
  • Provide management and SteerCo with clear, concise and accurate visibility on portfolio health
  • Prepare decision papers and escalation summaries where management intervention is required

Quality Measures & PMP Integration
  • Support the finalization of ongoing quality improvement initiatives (KPI definitions, measurement, reporting) and integrate the relevant measures and know-how into the Portfolio Management Process as permanent governance elements (e.g. Q-Gate criteria, standard reporting), including process updates and stakeholder alignment

Experience & Knowledge

Required
  • Proven experience in portfolio, program or release management within complex delivery organizations
  • Strong understanding of portfolio governance, quality-gate models and stage-gate processes
  • Experience coordinating multiple stakeholders across technical and business domains
  • Excellent skills in structured reporting and management communication using Azure DevOps, Jira, PowerPoint and Excel
  • Ability to work with advanced tools such as AI agents and act as a Human-in-the-loop to ensure desired outcomes
  • High degree of process discipline, attention to detail and follow-through
  • Strong facilitation and stakeholder management skills with the ability to drive accountability without direct authority
  • Fluent business English, written and spoken

Preferred
  • Experience in cloud platform, digital product or enterprise software environments
  • Hands-on experience with Azure DevOps, including backlog, boards, queries and dashboards, or comparable tools
  • Familiarity with release management, operational readiness and evidence-based governance models
  • Experience supporting large-scale transformation or stability programs
  • Knowledge of KPI frameworks and governance reporting
