Administrative Assistant
Main Job Tasks and Responsibilities
• Supports primarily the Service Manager. Works under limited
direction and own initiatives. Provides a variety of advanced secretarial and administrative support
for theervice Manager, and if required, for the Team members.
• Acts as a shared resource for the organization and for general administrative tasks.
• General administrative support: Independently takes care of general administrative tasks and
maintains the administrative processes. (what is given, e.g. independent writing of
correspondence, preparation of a draft for a presentation or a table after basic instructions, filing,
appointment coordination for the department, supervising relatively demanding processes, e.g.
target/actual comparisons, budget, checking of invoices, set up of statistics with a template,
meeting preparation and writing of simple minutes)
• Actively contribute to an excellent reputation of the team and act as a team player within the
team Department Support
• Receive and direct visitors and clients
• Carrying out background research and presenting findings
• Producing documents, briefing papers, reports and presentations
• Maintain office supply inventories
• Coordinate maintenance of office equipment
