Location: Düsseldorf
Contract: Freelance
Duration: 5 Months

Team Assistant & Project Management Office Support (m/f)

Responsibilities:
Support Cloud Management Center of topics such as:
• Planning and arranging meetings (maintaining diaries, booking of meeting rooms and setting up conferences calls)
• Acting as the first point of contact for internal and external inquiries
• Collecting project updates from team members and creating presentations on their basis for director meetings
• Taking meeting notes, compiling meeting minutes and providing relevant materials to participants for follow-ups
• Organizing team events (finding the location, negotiating conditions, providing onsite support, post processing and handling payments according to the established guidelines)
• Planning and preparing business trips (visa formalities, travel arrangements, consolidation of important information and documents, travel expenses claims)
• Team assistance in internal HR processes (expenses claims, trainings etc.) and numerous room bookings
• Procurement of small IT items and office supplies for the teams
• IT Department Coordination – assisting team members with raising standard IT requests and/or requesting on their behalf

Support Program Management:
- Organizing ongoing project meetings & PMO related activities
- Monthly risks & Issues updates in POT for IT Modernization
- Organizing the monthly PSC meetings, slide deck preparation with the latest updates on projects and sending the minutes of the meeting
- Support Financial tracking and budget process
- Support on/offboarding of project members

Qualifications
• Several years of professional experience in a comparable position in an international environment
• Proficiency in spoken and written English and German (further foreign languages are of advantage)
• High level of administrative and office support skills with attention to detail
• Ability to deal with high workload and time pressure
• Reliable working style and ability to handle confidential information with discretion.
• Strong interpersonal and intercultural skills to enable a successful cooperation with a range of people
• Positive attitude and a problem solving mindset
