Beschreibung

Für ein Projekt bei unserem Kunden suchen wir eine/n

Project Management Office (PMO) (m/w)

Start date: 01.06.2015
Project end date: 31.12.2015
Location: Frankfurt a. M.

Duties and Responsibilities
The PMO is responsible for the support of classical project management tasks from initiation until the closing of the project. In particular this includes:

Accruals
Reporting of accruals at the end of each month
Reporting of accruals at the end of the year
Comparison of MIS with plan
Identification of not booked costs and invoices >25k €

Budget transfers
Controlling of requested budget transfers and updating of business case accordingly
Allocation of cost to appropriate PSPs

PSP management
Set up new and control existing PSPs; ensure appropriate number of PSPs (if necessary convert PSPs to reduce numbers of PSPs)

CATS
management Allocation and comparison of booked hours; identification of delta

Actuals controlling
Monthly cross-check of actuals and if necessary adjustments of actuals
Comparison of primary costs with MIS and input sheet
Comparison of Cash-out with requested budget
Tracking of liabilities (obligos)
Create respective reports

Project / Milestone planning and tracking
Ensure correctness and timeliness of project plan as a high-level (PPT) and / or detailed view (MS Project) in consultation with project manager and stream leads where applicable.
Support monitoring milestones of other projects that are important for own project milestones
If required support re-planning process including impact on dependent milestones within the project and within other projects
Identify potential or real deviations, issues and trigger respective measures.
Ensure that the Release/Project Manager tracks and follows up the project management items: ATBTs, Issues, Dependencies, Risks, Assumptions, Decisions, Actions
Support the Release/Project Manager in obtaining the Production Launch Statement sign-off and in producing the post implementation support list
Ensure project close down activities and perform project housekeeping activities

Activity, issue, change control and risk management
Systematically monitor in time accomplishing of activities and identify and manage all relevant project issues
Support the Project team in the decision taking by monitoring a consolidated log on the risks, dependencies, decisions and actions and publishing it in due time to all relevant parties.
Support project manager to follow change request process
Set up SIRE for issues

Reporting
Coordination of program wide MSP reporting process
Update of exiting project milestones
Preparation of readiness tracking

Meeting management
Conceptual and content-wise creation of presentations for steering committees, supervisory boards, etc. as basis for review/approval of Project Manager
Taking of Minutes, alignment with Project Manager and sending out meeting minutes to all participants
Supporting the Project Manager to address project management related issues

Audit Support
Support IT Project Management team during internal or external Audits – if needed during time of assignment

Weekend Support
Take care of necessary arrangements to allow project team members to work during the weekend; e.g. Food order, support list, access to the building, distribution lists; Provide weekend participants with all required information (if not in the responsibility of Organisational Readiness or Service Implementation) – if needed during time of assignment

Transition
Support the Release/Project Manager in obtaining the Production Launch Statement sign-off and in producing the post implementation support list taking into account the Service Implementation / Organizational readiness stream
Prepare handover document for Release/Project Manager with non-handed over tasks for each project organisation stream.

Work Product
Check work flow execution and distribute status reports

Contract management
Executing the Contract routing card process where applicable
Entering contracts into the contract management system and forwarding for storage – if needed during time of assignment

Project Team management
Creation of IT Requests for IT staff and generate access requests - where applicable IT staff on boarding physically
Maintenance of absence / vacation list and issue reporting
Organisational chart update
Stakeholder contact list update

Meeting management
Organization preparation and post-execution of meetings, Jour fixes, steering committees or workshops (preparation of invitations, room reservations, catering organization - where applicable, ensure in time delivery of materials and consolidate meeting input, quality assurance, etc.), ensure right person has accepted the invitation)

Mailbox and project drive / device handling
Managing and forwarding of requests, archive mails, mailing list management
Ensure meaningful and useful project drive / device structure

Activity, issue and risk management
Regular request for updates from project members, alignment and briefing of project manager, update and maintenance of activity / issue lists

Qualification
Project management methods should be known and ideally have been used in former projects (such as PMI or IPMA).
Additional requirements:
University degree in business studies or comparable qualification
Upper understanding of Project Management Methodologies
Experience with budget management
High commitment and motivation, distinct readiness to take on responsibility
Ability to work under pressure and high degree of reliability/flexibility
Very good communication skills, empathy and the ability to work in an international team
Advanced skills in Microsoft Office, sound understanding of database systems (e.g. SAP), knowledge of Microsoft Project, Lotus Notes and Clarity is an advantage.

Language Proficiency
Project language is English. Thus, written and spoken German and English is required.
