Project Details
My financial services client is looking for an experienced resource to take care of Project Management tasks in role of a Project Management Office (PMO).

Project Description and Context
As a financial marketplace organizer, the company provides a portfolio of services covering the entire process chain:

Securities and derivatives trading and clearing, netting and transaction settlement, risk management, custody and provision of market information. Information Technology designs, builds and operates the technological infrastructure of the company. These highly integrated and automated IT systems are essential to our success.

The project - Lotus Notes Migration is phase 1 of the migration of the existing clients communication and collaboration infrastructure from IBM Lotus Notes to Microsoft Exchange. The project scope is limited to the migration of Emails, Calendars, Contacts and Collaboration to Microsoft Exchange, Outlook and includes the widening of the existing tool set to include Skype for Business as well as a limited environment for SharePoint.

Duties and Responsibilities
The PMO is responsible for the support of classical project management tasks from initiation until the closing of the project.

Support the creation of a project communication plan to define the appropriate information distribution and performance reporting tools according to the project characteristics and phase (eg meetings, reports etc).

Support the Release/Project Manager in the preparation of the Project
Master Plan: SUMMIT methodology expertise, MS Project expertise.
Ensure the project environment and appropriate tools are set up.

  • Set up project drive and accesses
  • Set up distribution lists
  • Set up project management item data base for ATBTs
  • Set up project in Primavera and assign resources

Organise recurrent meetings.

Ensure correctness and timeliness of project plan as a high-level (PPT) and/or detailed view (MS Project) in consultation with project manager and stream leads where applicable.
Support monitoring milestones of other projects that are important for own project milestones
Identify potential or real deviations, issues and trigger respective

Ensure that the Release/Project Manager tracks and follows up the project management items:
ATBTs, Issues, Dependencies, Risks, Assumptions, Decisions, Actions
Support the Release/Project Manager in obtaining the Production Launch
Statement sign-off and in producing the post implementation support list

Systematically monitor in time accomplishing of activities and identify and manage all relevant project issues

Update of existing project milestones
Preparation of readiness tracking

Taking of Minutes, alignment with Project Manager and sending out meeting minutes to all participants
Supporting the Project Manager to address project management related issues

Maintenance of absence/vacation list and issue reporting
Stakeholder/Contact list update

Organization preparation and post-execution of meetings, your fixes, steering committees or workshops (preparation of invitations, room reservations, catering organization - where applicable, ensure in time delivery of materials and consolidate meeting input, quality assurance, etc.), ensure right person has accepted the invitation)

Requirements on the Project Management Officer
Project management methods should be known and ideally have been used in former projects (such as PMI or IPMA). Additional requirements:

  • University degree in business studies or comparable qualification
  • Upper understanding of Project Management Methodologies
  • Experience with budget management
  • High commitment and motivation, distinct readiness to take on responsibility
  • Ability to work under pressure and high degree of reliability/flexibility
  • Very good communication skills, empathy and the ability to work in an international team
  • Advanced skills in Microsoft Office, sound understanding of database systems (eg SAP), knowledge of Microsoft Project, Lotus Notes and Clarity is an advantage

Language Proficiency
Project language is English. Thus, written and spoken English and German is required.

Skills

In addition to the PMO capabilities the following functional/technical skills are required.

  • IT project experience is desirable
  • Service implementation/deployment experience desirable
