PMO Manager (f/m)

For our global client within the music industry we are looking for a PMO Manager on a freelance basis (f/m).
Project Start: ASAP
Duration: 6 months +
Location: Berlin
Tasks:
As a PMO Manager, you will have 5 main responsibilities:
1. Set standards for how projects are run
Maintain the common set of procedures, principles and templates for managing, controlling and reporting on projects. Standardisation means that projects are run similarly, facilitating for Project Managers and other departments. Creating project management templates means that standard deliverables can be reused which saves time and money as they are not created for each project.
2. Ensure project management standards are followed
Ensure processes are followed by projects using the defined standards, templates and tools.
3. Track and assess project performance
Track the status of all projects in the organisation based on updates from the project team and project managers. Assess the performance data, highlight risks and report project progress to management. Maintain project financial models (in Excel) and project plans (in MS Project).
4. Source of guidance and advice for project managers
Maintain information on past and present projects. This will form a knowledge base for project management and can provide guidance for organizing and estimating future projects.
5. Managing the resource requests and availability
Manage the resource forecast to help understand resource availability for projects.
Other responsibilities:
- Take responsibility for the PMO and its staff (2 FTE)
- Manage and optimize the agreed project processes, showing transparency within the project and its stakeholders.
- Create project reports in agreement with the PM and in accordance with the Reporting process.
- Take full responsibility of the financial reporting: Perform weekly analysis on actual time recording against budget/forecast
- Highlight to the PM any potential impacts on budget and forecast during the runtime of the projects
- Drive all month-end closing activities for the projects and ensure timely invoicing to the clients
- Take responsibility on maintaining and updating the existing labour claim structure for the projects
- Support the project management team in planning and processing contract changes
- Maintain and follow up Change, Issue and Risk logs on a recurrent basis.
- Take responsibility for project administration including organising project governance meetings, documentation of meeting minutes and actions and follow up
- Work closely with Project Managers to help maintain, monitor and control MS Project plans and schedule.
Skills:
- Degree in business administration or similar
- Five years of working experience within an international environment either in a PMO management or finance function
- Ideally practical experience within IT or business process outsourcing business
- Understanding of accounting and economic principles
- Confident, pro-active character with a degree of service orientation paired with a very pro-active thinking and acting
- Open minded and able to work in an international and very dynamic environment
- Excellent MS Office skills with focus on Excel, MS Project and PowerPoint
Language:
- Excellent written and oral skills in English
