PMO Assistant

We are currently recruiting for our client, a prestigious telecommunication company, for a PMO Assistant to join their project in Germany.

Position Title: PMO Assistant
Position Type: CONTRACT
Start Date: February / March 2016
Duration: 3 month rolling
Location: Germany, Bayern region

Responsibilities:
- Consultant reports to the PMO Director
- Has the authority to instruct project team members to provide information and participation in order to achieve completion of his tasks.
- Project monitoring, reporting and controlling
- Regularly check for data consistencies in the different tools in use and challenge the responsible parties to complete their open tasks
- Prepare the different weekly monthly internal and external reports.
- Update Collect the data required for creating all reports needed and create the reports based on existing excel and powerpoint formats.
- Follow up on the required input from individual team members
- Critically evaluate the report data and cross check results.
- Prepare all slides and executive summaries (Status, Risks, Mitigation)
- Manage the on time preparation of reports required and meeting preparations
- Create the comments section based on the input received involving rewording of received comments including critical analysis of reporting data
- Regularly improve the reports used based on customer and stakeholder feedback and critical reflection.
- Prepare special reports in irregular intervals for special topics
- Management of organizational charts, user accounts, workspace and related database
- Keep the individual organizational charts up to date
- Manage the different access and database user rights for all customer accounts internally with customer and partner firms.
- Maintain a good relationship between the internal team and the relevant contacts on the customer and partner side.
- Follow up on applications made (internally and externally) and assure data is collected and provided complete and in the required format.
- Schedule meetings for the management team
- Handle all applications and retrieve feedback to provide weekly status reports.
- assure attendance
- preparation of minutes and follow up on action points and collect updates
- Additional tasks assigned by the manager to be completed whenever applicable

Qualifications/Skills Required:
- 5 years experience in telecommunications in Project Assistant, PM and PMO roles
- Establishing and maintaining a professional working relationship at multiple levels both within internal teams and customers, involving third parties as necessary
- Analyzing progress data and report to the management team
- Excellent skills in preparation of presentations and generation of reports for project management team executive management internal and external
- Very good general computer literacy and MS Office skills
- Excellent skills in MS Excel, MS PowerPoint
- PMP, Prince 2, qualification preferred
- English – Full professional proficiency
- German – Full professional proficiency
- Mandarin – optional
