Beschreibung

We are currently in need of an experienced Programme Office Manager to support our client in Frankfurt.

Main Activities and Responsibilites

The overall responsibility of the Programme Office Manager is to support the Programme Management team and project managers in planning, monitoring and delivering the programme. This involves but is not limited to: tracking & reporting of progress, information management, definition and maintenance of programme wide guidelines, document management, risk & issue tracking, monitoring the status of projects transitioning into BAU, providing support to the Finance Manager and HR Manager, management of documents, programme level workshop planning and support.

General Programme Management Support
- Providing effective management support to programme management
- Co-ordination of publication, review and sign-off of major programme/project management deliverables

Planning, Tracking & Reporting
- Assist Programme Planning Manager in programme planning, tracking, tools & template maintenance
- Support in maintaining the programme roadmap and other programme related plans
- Consolidate status reports of projects to programme level status report(s)
- Report on progress of the programme to the Governance Board and all stakeholders
- Consolidation of programme delivery status

Information / Documents Management
- Develop and maintain the procedures, tools and templates used in the programme

Meeting preparation & support
- Schedule, prepare and take minutes of programme management meetings and workshops
- Develop and assist in the development of presentations

Risk & Issue Management
- Assist in the identification, assessment, mitigation planning, monitoring and reporting of programme level risks and issues
- Maintain the programme level ‘risks and issues’ register

Administrative
- Development / quality assurance of presentations and meeting documents
- Any other administrative support as required (e.g. translations)
- Manage the programme office mailbox

Requirements
Education, Work Experience
- Minimum 8 years of professional experience
- Minimum of 2 years in managing mid sized to large projects or working in a project/programme office function of a large scale transformation project/programme
- Minimum of 2 years working in end-to-end software implementation projects / programmes
- Preferred: SCRUM and/or KANBAN qualifications
- Preferred: Project management certification

Functional
Experience with
- programme co-ordination/administration
- managing projects, or exposure to the end to end project lifecycle, or managing substantial parts of the project lifecycle
- working within a structured project management framework
- project management tools and techniques

Technical / Methods
- Excellent MS PowerPoint, Excel and Word skills
- Very good MS Project skills
- Knowledge and experience of Atlassian products (Jira, Confluence)

Languages
- German: fluent (min. competence level C1 CEFR)
- English: fluent (min. competence level C1 CEFR)

Personal
- Strong organisational capabilities
- Self-motivated, ability to pick up things quickly
- Agile mindset
- Strong social competence and communicative skills, both written and verbal
- Ability and willingness to support changing needs during programme lifecycle
- Pro-active attitude to work with other programme governance roles and project managers
- Strives to do the "right thing", not just the "easy thing"
- Very good prioritisation skills to balance key priorities
