Our client is a busy real estate agent who is #1 in her office. She serves clients in New Hampshire, Connecticut, and Massachusetts. She has a keen eye for detail and is a strong advocate for her clients. Despite 2023’s challenging market, her business continues to grow, and she is looking for an experienced real estate assistant to support her.

This remote real estate executive assistant role is a fantastic opportunity for a self-starter who loves being at the center of everything, ensuring their team is focused and thriving. 

We are open to those who live in the EST or CST zones. It is an added bonus if you are located in Florida.

As an experienced real estate assistant, you know that your job is to be the calm in the storm and to have a hand in pretty much every aspect of the business. Your systems, checklists, and processes ensure that deadlines are always met and nothing falls through the cracks. You love working with real estate contracts and helping your agent look out for the client’s best interests.

A Day In the Life

On any given day, you will focus on clearing away distractions so your agent can focus on generating new business and closing sales. Your day-to-day responsibilities will involve managing phone and email correspondence, organizing their calendar, client care, transaction management, and project management. You will also prepare your agent for initial buyer and seller consultations.

From time to time, you will need to stay late or respond to a message on the weekends. 

Areas of Focus

Administrative Support: You will maintain and streamline existing systems, checklists, and procedures to ensure the smooth and efficient operation of the office. You will take ownership of the contact database, nurture its growth, and use it to support your agent and hold them accountable for lead generation and follow-up. 

Manage Deal Flow: You will project-manage all transactions from Listing Appointment to Close. This includes preparing your agent for listing appointments, overseeing the pre-listing prep and marketing process, scheduling showings, helping prepare for open houses, providing seller feedback, and managing all documents and contracts in Dotloop. 

Buyer Management: You will help facilitate the onboarding process for new buyers and establish both on-market and off-market searches for the team’s buyer clientele. You will communicate with buyers and follow through to the closing of their transactions. 

Marketing Support: You will assist with marketing initiatives and campaigns, such as preparing collateral, updating the website, and oversight of all social media platforms and client appreciation events on behalf of your agent.

Client Care: You'll serve as a key point of contact for buyers and sellers and guide them through the closing of the transaction. By doing the heavy lifting for them, you'll put their minds at ease and help earn the team their referrals and 5-star reviews.

  • Google Suite, including Excel/Sheets
  • Microsoft Suite
  • Social Media platforms 
  • Researching real estate market activities and properties
  • Preparing CMAs
  • Real estate contracts

A NH and/or MA real estate license is required. If unlicensed, you should be willing to get licensed. You must also live under 40 minutes to Amesbury and have access to a car that you may use occasionally for work, a valid driver’s license, and carry insurance.

The Details:

Salary: $60,000 - $80,000 in total compensation inclusive of a bonus. (Base salary ranges 50k-65k with an anticipated bonus of $15k)

Benefits: Paid time off  and a monthly stipend for medical benefits can be considered.

Hours: 9 - 6 or 10 - 7, 5 days per week. Flexibility as needed to accommodate the business demands. ex. help with an open house, a showing or the occasional client event

Location: Amesbury, MA (Remote EST and CST zones)
